Description:

We are currently seeking a highly organized and detail-oriented Administration Assistant to join our dynamic team. As a professional Administration Assistant, you will play a crucial role in supporting various administrative functions, with a primary focus on occupational health and safety, training coordination support, documentation management, payroll, scheduling, data entry and general administrative tasks. This role requires excellent organizational skills, attention to detail, confidentiality, and the ability to multitask effectively. This role will include site-based work, pro-actively assisting the on-site team across multiple departments.

Job Requirements:

Key Responsibilities:

Front Desk Management:

  • Greet visitors and direct them to the appropriate person or department.
  • Answer and manage incoming calls, taking messages and forwarding calls as needed.
  • Maintain a clean and organized reception area.
  • Provide excellent customer service to visitors, clients, and employees.
  • Assist with general inquiries and provide information about the organization.

Payroll:

  • Administer payroll processes, including thorough checks of timesheets and gate times.
  • Accurate data entry.
  • Verify payroll data against master documents.

HR and Recruitment:

  • Assist with the onboarding of new personnel, including booking medicals and inductions as well as ordering and administering uniform and PPE.
  • Efficiently manage new starter documentation, ensuring timely email communication and meticulous file maintenance.
  • Conduct regular check-ins with new starters to facilitate a smooth transition.
  • Support general HR administration tasks.
  • Collaborate with the HR Department on day-to-day duties to ensure smooth operations.

Occupational Health and Safety (OHS): 

  • Maintain a safe working environment
  • Provide general administrative support for OHS processes.
  • Organize and maintain OHS documents, ensuring compliance and readiness for audits.
  • Provide assistance to the on-site safety and training department utilizing client-based contractor and training portal.

Other:

  • Manage office supplies and other essential items and place orders as needed to maintain a well-equipped and organized office environment.
  • Scan and maintain comprehensive records, including archiving documents for easy retrieval.
  • Handle various administrative tasks for the Director, Operations Manager, and other team members
  • Act as minute-taker for weekly management meetings, ensuring accurate records and prompt upload to relevant platforms.

Requirements:

  • Proven experience in administration, preferably with a focus on OHS and Training.
  • Strong organizational and multitasking abilities.
  • Excellent attention to detail.
  • Proficiency in relevant software applications such as MYOB, and Microsoft Office.
  • Effective communication and interpersonal skills.
  • Current WA Drivers License.

Desirable:

  • Cert III in Business or similar
  • Experience in OHS and Training Requirements in the Resource Sector.
