You will be the driving force supporting our operational efficiency, working closely with the SJs management team to ensure we provide our clients with the safest and highest quality Traffic Management service in the South West and Great Southern. This is a pivotal role in providing essential administrative support to the management team, with a primary focus on personnel, fleet and various administrative tasks.

Key Responsibilities

Administration:

This role will encompass various general administrative tasks, where your attention to detail and proactive approach will ensure that our office runs seamlessly. You’ll handle a range of crucial tasks, including answering incoming phone calls, keeping the office clean and professional looking, printing and collating work packs, managing stock levels of PPE and serving as the first point of contact to greet clients in our office.

 

People:

You'll assist the management team with our workforce, including data entry of orders and allocations of people, fleet, and equipment in our rostering software Assignar. Ensuring no double-ups in allocations and monitoring the current accreditations of all employees will be key to our operational efficiency.

You'll be responsible for booking training and reaccreditations, approving timesheets and managing logistical requirements for away crews, including accommodation bookings.

This role will also encompass onboarding new staff, from pre-screening and interviewing to handling paperwork and conducting inductions.

 

Fleet & Equipment:

You’ll play a pivotal role in ensuring the seamless functionality of our fleet. Your responsibilities will include daily checks of fleet prestarts on Assignar, maintaining and updating maintenance schedules, scheduling servicing, maintenance and repairs, and meticulously tracking all hire equipment.

You'll also oversee the coordination of new fleet setups, guaranteeing that the necessary equipment and documentation is in place.

Your attention to detail will be instrumental in ensuring that all registrations and insurance are up to date, allowing us to maintain a safe and efficient operation.

 

Accounts & Payroll Support:

You will provide assistance to the Accountant in preparing weekly payroll and accounts payable and receivable tasks.
