Job Requirements:

THE ROLE:

Reporting to the Project Manager, Site Administrator ensure the smooth operation of a work site by performing a variety of administrative tasks. The primary purpose of their position is to aid where required to site management and the Port Gregory Team.

Responsibilities includes but not limited to:

  • Reception:
    • Answer calls, greet visitors, manage sign-in, and oversee office operations (supplies, equipment, facilities).
    • Provide administrative support (scheduling, travel, paperwork) and maintain safety records.
    • Implement safety measures and handle technical issues.
  • Supplies:
    • Order furniture, maintain stock levels, and manage drinking water supplies.
  • Accounts/Purchasing:
    • Use Netsuite for purchasing, deliveries, and data management.
    • Oversee hygiene, receive goods, monitor equipment rentals, and manage maintenance labor hire.
  • Events:
    • Book venues, arrange catering, and organise meetings/events.
  • General Administration:
    • Manage invoicing, document archiving, registers, meetings, phone lists, and basic IT support.
    • Assist with general tasks, equipment maintenance/repairs, and reports.
  • Reports/Rostering:
    • Enter timesheets, maintain cost sheets, develop project reports, manage the site roster, and assist with reporting processes.

 

ESSENTIAL/DESIRED QUALIFICATIONS, SKILLS, COMPETENCIES & EXPERIENCE:

  • Proof of Right to work in Australia: Candidates with temporary working rights in Australia will not be considered. Please indicate your right to work in Australia in your application (e.g. Permanent resident, Australian Citizen etc).
  • Office Management or Business Certificate (Desirable)
  • Intermediate Excel and Microsoft Word

 

SKILLS AND SELECTION CRITERIA | ESSENTIAL SKILLS AND COMPETENCIES 

  • Professional personal presentation
  • Ability to organize, multitask and work under pressure.
  • Manual drivers’ license
  • Sound computer skills including Microsoft Word and Excel.
  • High level accuracy & attention to detail.
  • Ability to work without continuous supervision.
  • Experience in a similar site administration role in the mining industry (Desirable)
